Terms and Conditions

These terms apply to all contracts for the use of the software products PrivadiOffice (invoicing and customer management), Termin-App (appointment booking) and Mitarbeiter-App (time tracking) between Privadi and its users.

The offer is aimed exclusively at businesses within the meaning of § 14 BGB, that is, persons and companies that conclude the contract for their commercial or self-employed professional activity. This also includes founders who use PrivadiOffice for their future business. No contract is concluded with consumers within the meaning of § 13 BGB; when registering, the user confirms that they are acting as a business.

PrivadiOffice is software for managing customers, invoices, quotes and cleaning jobs for building cleaning businesses. Termin-App adds a public appointment booking function for end customers. Mitarbeiter-App adds time tracking for the user's employees. All three products are connected and use the same data.

We continue to develop PrivadiOffice, Termin-App and Mitarbeiter-App. Individual functions may change, be added or be discontinued, provided this is reasonable for the user.

The contract is concluded by registering a user account. On registration, the user chooses modules or a package (§ 4) and pays for the first month; there is no free trial period. Users who registered before 7 October 2026 received a free trial period of 30 days; after it ends, use becomes chargeable unless the user cancels beforehand.

By registering, the user also concludes the data processing agreement pursuant to Art. 28 GDPR. This is a prerequisite for use, because personal data of third parties is processed in the software.

The price stated on the website at the time of registration applies. Existing users will be informed of price changes in good time in advance.

PrivadiOffice is booked as modules or as a package; the Office module is always included. Modules, packages, prices and the minimum term for websites are the same as in § 3 of the Partner Terms of the referral portal (meine-reinigungsfirma.de) and are shown on office.privadi.de in the section “Modules and packages”. All prices are net plus 19% VAT and are paid monthly in advance by card or SEPA direct debit via the payment service provider Stripe. Modules and packages can be cancelled monthly; they are changed and cancelled in the partner area on meine-reinigungsfirma.de.

With the first payment, the user becomes a member of the referral portal meine-reinigungsfirma.de free of charge, one area included; the Partner Terms of the referral portal apply in addition. The business only becomes visible there once it has submitted the required documents and been approved.

For users who booked an Essential, Equip or Avantgarde plan before 7 October 2026, its scope and price continue to apply.

For businesses of the Reinigungszentrale (meine-reinigungsfirma.de), the Partner Terms of the referral portal apply to the membership, the areas and PrivadiOffice when added there.

The contract runs for an indefinite period. The user may cancel at any time in the account settings; no confirmation by the provider is required. The cancellation takes effect at the end of the billing period already paid for, or on the last day of the free trial period. Until then, use remains unchanged; after that, no further charges are made. As long as the cancellation has not yet taken effect, it can be undone in the account settings. After the end, the data remains available for download for three months; after that, the account and data are deleted. The account can be deleted by the user at any time during the trial period and after the paid term has ended. Cancellation by email to office@privadi.net also remains possible. The cancellation also applies to a partnership in the Reinigungszentrale (meine-reinigungsfirma.de) held with the same account, and can also be declared there. By way of exception, cancelling the Equip plan takes effect immediately as long as no paid subscription exists for it. If a website is booked, the cancellation takes effect at the end of its term (§ 4).

The user is responsible for the accuracy of the data they enter, including invoice details, company data and customer data. The user bears legal responsibility as the issuing business for the invoices, quotes and appointment confirmations generated by the software.

We aim for high availability of PrivadiOffice, Termin-App and Mitarbeiter-App but cannot guarantee uninterrupted availability. Maintenance work is carried out outside normal business hours where possible.

PrivadiOffice offers optional automated functions, including the generation of XRechnung files in accordance with EN 16931 and automatic translation of invoice content via an external translation service. These functions are provided to the best of our knowledge; no guarantee is given for the full legal conformity of generated files or the accuracy of automatic translations. The user remains responsible for the correctness of their business documents.

Through Termin-App, end customers can request available appointments. An appointment request is not yet a binding booking; the booking only comes about through manual confirmation by the user. The user is responsible for communication with their end customers.

The data entered by the user is stored and processed for the purpose of performing the contract. Details are set out in our privacy policy and the data processing agreement.

Privadi has no access to the customer data a user enters into PrivadiOffice and does not set up any access that would make such insight possible. The only exceptions are the back-office assistant and technical support. If the user books the back-office assistant, the person Privadi deploys for this is given access to the data of the booked functions for the duration of the booking (§ 4, data processing agreement). Technical support: solely upon the user's express request, for a limited period and with the access logged, Privadi may gain insight into a single account for troubleshooting purposes.

We are liable without limitation in cases of intent and gross negligence as well as for injury to life, body or health. In the event of slightly negligent breach of material contractual obligations, liability is limited to the foreseeable damage typical for this type of contract. Liability is otherwise excluded.

German law applies. The place of jurisdiction for merchants is Halle (Saale). Should individual provisions of these terms be invalid, the validity of the remaining provisions remains unaffected.

The German version of these terms is authoritative. Translations serve solely to aid understanding.

Each version of these terms carries a date. If these terms change, PrivadiOffice shows the user the new version on their next visit; it applies to the user from the time they give their consent.

Until the user consents, the legal texts and the account settings remain accessible. There, the user can download their data and cancel under § 5 if they do not wish to agree to the new version.
